Bundles let you group multiple product lines together so you can add them to a job in one step. They are ideal for common service packages — like a standard service that always includes labour, an oil filter, an air filter, and consumables. This guide explains how to create bundles, use placeholder lines, and control how bundles appear on invoices.
Step 1: Create a Bundle
- Go to the Products page and press the + icon.
- Toggle the product type from Standard to Bundle. The price and cost fields will disappear — pricing is set on the individual product lines within the bundle, not on the bundle itself.
- Enter a Code and Name for the bundle (e.g. “STDSERV” / “Standard Service”).
- Press Save.
Step 2: Add Product Lines to the Bundle
After saving, a new section appears at the bottom where you add the individual lines that make up the bundle.
- Add each product line that should appear when the bundle is used on an invoice. For example:
- Service Labour — set the quantity (hours) and price.
- Specific parts — e.g. a particular oil filter, air filter, or consumables charge. Use specific products when the bundle is for a particular vehicle type and you use the same parts every time.
- For general-purpose bundles where the parts may vary, use Placeholder lines instead:
- Press Add Products to create a placeholder product.
- Tick Don’t Update Quantity on the placeholder.
- Name the placeholder descriptively (e.g. “Oil Filter” or “Air Filter”).
- You can leave the price blank on placeholders — you will fill in the actual product and price on each invoice.
- The total shown is a running total of what is currently added — it will update when you replace placeholders with real products on the invoice.
Step 3: Use a Bundle on an Invoice
- Open or create an invoice, and add the customer and vehicle as normal.
- In the product search field, type the bundle name.
- All the bundle’s product lines are added at once. They appear in blue to show they are grouped together.
- Replace any placeholder lines with the actual products for this job. The price updates accordingly.
- You can add additional products outside the bundle — they appear separately, not grouped with the bundle lines.
- You can edit the price, quantity, and description on any bundle line, just like a regular product.
How Bundles Appear on Printed Invoices
On a printed invoice, the bundle appears as its own section with its own subtotal, making it easy for the customer to see what was included in the service versus what was additional work.
Customising Bundle Display Settings
You can control how bundles appear on printed invoices.
- Go to Settings > Company Settings > Invoice Settings.
- Choose your preferred bundle display option:
- Show bundle name and all items with individual pricing — the default, showing every line and every price.
- Show bundle name and items, but only bundle pricing — shows what’s included but only one total price for the bundle.
- Show bundle name only — hides the individual items entirely.
Good to Know
- Bundles do not have their own price or stock quantity — pricing comes from the individual product lines within the bundle.
- Use specific products in bundles for vehicle-specific service packages where you always use the same parts.
- Use placeholder products in bundles for general service packages where the parts may change per vehicle.
- Bundle lines appear in blue on the invoice to visually group them together.
- Additional products added outside the bundle appear normally and are not grouped with the bundle.
FAQ
Can I edit bundle lines on an invoice?
Yes. You can change the price, quantity, and description of any bundle line on the invoice, just like any other product line.
Can I add extra products to a job that uses a bundle?
Yes. Any products added outside the bundle appear separately on the invoice and are not grouped with the bundle.
What are placeholder lines?
Placeholders are generic product lines (e.g. “Oil Filter”) that you replace with the actual product when creating the invoice. They let you build flexible bundles that work across different vehicle types.
Does the bundle affect stock levels?
The bundle itself does not. Stock is tracked on the individual products within the bundle, just as if you had added them separately.
