Create and Manage Event Times Across Multiple Days

This article provides a step-by-step guide on creating multiple event times for a single job. This feature is helpful when a job has already started on a vehicle, for example, but needs to be extended across multiple dates.

Create a Customer Booking

1) Create a Booking for the customer as you would for any other job (Use this link to know How to create a Customer Booking) Note: Before accessing the Event Times, ensure that the booking is saved. You can either save it manually using the Save button at the bottom of the page, or proceed with the steps below, where a pop-up warning will prompt you to confirm and save the booking. 2) Open the Event Times Settings: on the Customer Booking page, locate the labour line and click the green cog icon next to it and click to access the Event Times. Workshop Software screen showing on the customer booking page, locate the labour line and click the green cog ... 3) A pop-up window labelled Event Times will appear to Update the Event Time, so at this point you can either update this event and assign it to a mechanic or click on the blue button named Event Times to go back to the main list to Create a new event time. 4) To create the the First Event, click the Create button and enter the estimated hours required for the first day/event. Allocate this time to a mechanic by typing their name and a list of your mechanics will be pulled from your system, set the date and time, then click Create to save. 5) Repeat the process for the second or subsequent days, making sure to enter the estimated hours, where you can assign the same mechanic or a different mechanic from your list. Set the future date on the pop-up calendar and set the time of this event on the next field. Note: A confirmation message will appear at the top of the screen indicating that the new event time has been successfully saved. If an error message appears in a red banner stating, “Mechanic Not Scheduled To Work During That Time Period,” review the mechanic’s schedule for the specified day and make the necessary adjustments. Check the Booking Diary

1) Open your Booking Diary to review the scheduled events. 2) The first booking date will show as Split 1 of X (e.g., Split 1 of 2 if split across two days), while subsequent dates will show as Split 2 of X, Split 3 of X, and so on. View All Scheduled Dates for the Booking

1) To see all scheduled dates, click on the booking for any of the dates., then select the green cog icon again to open the Event Times summary, displaying all scheduled dates and times. Important Notes:

No Need for a New Invoice: Use the original invoice created when the job was started. There is no need to create a new invoice for each additional day. Booking Limit: A booking can be scheduled across a maximum of 9 days.
