Schedule a mechanic for a day off

This guide walks you through the steps to schedule a mechanic for a day off in Workshop Software. This is a common task when managing your day-to-day invoicing and job card workflow.

1. Select ‘Settings’ from the left hand navigation menu, and then select ‘Schedule’;

2. Choose the day(s) that need scheduling off, by clicking the ‘Next Week’ button, in the top right-hand side of the page:

3. Click on the day for the specific mechanic that needs to be scheduled of (in this example we will select Alana Croxford to have Friday 15th off)

Once you click on that cell a pop up box will appear.

To set a specific time to be off, click on the Start time field to set the start of the time period where they will be unavailable, then do the same for the end time. Then click the green ‘Save’ button.

4. If the staff needs to have the whole day off, click on the yellow ‘Unavailable All Day’ button, this will automatically save and the schedule will now show that particular mechanic is now unavailable for the day.

Good to Know

  • Make sure you click Save after making your changes. If you navigate away before saving, your changes will be lost.
  • Double-check the details on your invoice before finalising to ensure accuracy for your customer and your records.

Frequently Asked Questions

Can I undo this change to the invoice?

You can update the invoice again by following the same steps. If the invoice has already been finalised or synced to your accounting system, contact your administrator about the best approach.

Can I restrict what an employee can access in Workshop Software?

Yes. Workshop Software allows you to set permissions for each user, controlling which areas of the system they can view or edit. Check the user settings for available permission options.

Can customers see this in the online booking diary?

If you have the public online booking diary enabled, customers can book appointments through it. The settings you configure here control what is available in the internal and/or public diary. Check your online booking settings for customer-facing options.
