Workshop Pay Online Text or Email Payments

Payments just got a lot easier and quicker. Check out this quick video.

In this video, I want to show you something that I believe every Workshop Software user should have set up today—and that’s the online payment feature in Workshop Pay.

It’s fast. It’s easy. And once you see how it works, you’ll wonder how you ever ran your workshop without it.

Let me show you.

I’m going to raise a quick invoice—just a random customer—and I’ll add a simple labour line, say $150. Now, once I process the invoice, you’ll see this option right here: “Request Online Payment.” This appears when you’re connected to Workshop Pay online.

You can send this request via email or SMS. In this case, I’ll send it by email.

What it does is fire off a professional-looking message to your customer with a secure link to view and pay their invoice. You can completely customise the blurb, but the beauty is—you don’t have to lift a finger. It’s all pre-set and ready to go.

Now let’s flip over and pretend we’re the customer.

They get the email, open it up, and boom—there’s a button to view and pay their invoice. They can see the full invoice, download it if they want, and when they’re ready to pay, they just click “Pay Now.”

And here’s the best part—it’s mobile responsive. Whether they’re on a phone or a laptop, it looks great and works perfectly.

The customer enters their card details—or more likely, their phone or browser just autofills it—and clicks pay. Done. Super fast.

Now let’s jump back into Workshop Software.

Refresh the invoice, and there it is—the payment has been applied automatically, and the surcharge is already calculated and added to the invoice. In this case, it’s a $1.50 surcharge. This is all hands-free—no manual updates, no double handling.

But it gets even better.

Because this system is fully integrated with your accounting software—whether you’re using Xero, MYOB, QuickBooks or something else—that surcharge, the payment, and the entire invoice sync automatically. It even goes to the correct general ledger account you’ve configured.

Here’s the invoice in Xero, for example. You can see the $150 invoice, the surcharge added on, and the payment recorded—all matched up and reconciled. No manual entries, no confusion, no mistakes.
